Job Description:
Fleet Manager Required Qualifications (as evidenced by an
attached resume): Bachelor's Degree (foreign equivalent or higher).
In lieu of the Bachelor's degree, four (4) additional years of
directly related full-time administrative experience or a
combination of higher education and experience totaling four
full-time additional years may be considered. Five (5) years of
full-time experience with scheduling/management of assets or
projects, purchasing, budgeting, and accounts oversight. Must have,
keep and maintain the appropriate valid NYS Driver's License; have
a motor vehicle record which is free from major violations or a
pattern of repeat violations. (*Out-of-State Applicants, see
"Special Notes”). Preferred Qualifications: Advanced Degree
(foreign equivalent or higher) in Maritime Studies, Business
Administration, or a related field. Experience with fleet and/or
facility management. Experience in a research or academic setting.
Supervisory experience. Familiarity with state policies and
procedures related to environmental health and safety. Brief
Description of Duties: The Vessel Fleet Manager will report
directly to the Dean of the School of Marine and Atmospheric
Sciences. The primary goal of the Vessel Fleet Manager is to ensure
that SoMAS' vessels are well-maintained, provisioned, and
efficiently and safely crewed for use by the School's multiple
users. The Vessel Fleet Manager is responsible for vessel
scheduling, maintenance scheduling, billing, crew assignments,
staffing, communications, and the maintenance of a professional
operation of vessels. This includes for the large
research/oceanographic vessels, the fleet of small, trailerable
boats, and the fleet's equipment. The incumbent will be the primary
point of contact for managing the activities of two yards located
in Port Jefferson and Southampton, and all oversight related to
fleet efficiency, safety, compliance, and cost-effectiveness,
working with various departments to ensure optimal performance and
adherence to regulations. Work will be performed in an autonomous
environment and the successful candidate will be self-directed,
innovative, and resourceful. The successful incumbent must have
demonstrated ability to work effectively in a highly diverse
environment with all levels of management, faculty, staff, and
student populations and the ability to analyze and solve problems.
The successful incumbent will have excellent customer service and
interpersonal skills, exercising strong organizational and
time-management skills with an exceptional attention to detail.
Duties : • Fleet Operation Management : • Oversee day-to-day
operations of the vessel fleet. • Serve as a liaison between and
among the ship's usage clients and the captains and crew, ensuring
that the vessels' activities are consistent with the research and
educational goals of SoMAS. • Coordinate arrangements for ships'
berthing, both at their home ports and at remote locations. •
Coordinate arrangements for the transportation of gear, supplies,
and personnel to and from the vessels in other ports. • Manage the
purchase of vessel provisions, supplies, materials, equipment, and
repairs, including solicitation of bids and creation of purchase
orders as required, and for the annual vessel shipyard haul-out. •
Negotiate with internal and external clients regarding vessel
availability and pricing. • Maintain all vessels' on-line operating
schedules, in coordination with the Dean's office. Communicate
vessels' operating schedules to stakeholders. • Design and maintain
the vessel operations web page, safety plan, and scheduling
calendars. • Personnel Management: • Schedule permanent, term,
temporary, full- and part-time staff and student personnel for
cruises across numerous vessels and two vessel “yards.” • Manage
and track work schedules including accruals of compensatory and
overtime; schedule rest periods and days off in accordance with
university policy and procedures in adherence to state, federal and
local laws as applicable. • Collaborate with the Dean office to
recruit, train, and manage crew members. • Coordinate the
performance evaluation process of all vessel staff. • Ensure
compliance with maritime regulations and safety standards. • Budget
& Financial Management: • Manage accounting for cost of ship
operations, submitting reports to SoMAS Main Office detailing ship
use for billing purposes (provide usage details for invoices). •
Partner with the Assistant Dean to prepare and manage the fleet
budget, monitoring expenses and identifying cost-saving
opportunities. • Analyze financial reports and performance metrics
to inform decision-making; develop and implement operational
strategies to improve efficiency and reduce costs. • Actively
oversee the advertising and promotion of vessel use opportunities,
both within SoMAS and externally, so that the income from ship
activities is balanced with expenses. When demand exceeds capacity,
consult with the Dean and the ship's committee to ensure that
prioritization of clients best responds to the mission of SoMAS.
Maintenance : • Work directly with vessel repair companies to
schedule and coordinate regular maintenance, repairs, and
inspections for all vessels. • Coordinate all shipyard repair and
maintenance work. • Other duties or projects as assigned as
appropriate to rank and departmental mission. Special Notes: This
is a full-time appointment. FLSA Exempt position, not eligible for
the overtime provisions of the FLSA. Minimum salary threshold must
be met to maintain FLSA exemption. In addition to the employee's
base salary, this position is eligible for $3,400 UUP annual
location pay, paid biweekly. For this position, we are unable to

been designated as an essential position based on the duties of the
job and the functions performed. Positions that are designated as
such may be required to report to work/remain at work even if
classes are canceled, and the campus is working on limited
